The Key Monitor System can be configured to suit your requirements. Users, Access Levels, and Keys can be configured in different ways. Security Access Control Systems can be interfaced to the Key Monitor System. Alarm Systems can be interfaced with the Key Monitor System. Users can be automatically asked questions when a key is released. You can use the system for key tracking, key control, key monitoring, key finding, key logging or any combination of these functions. Key security can be adjusted to suit your needs for easier key access, or tighter key control.
All configurations are performed directly on the Key Monitor System unit by an Adminsitrator or Key Monitor System support technician. No other software or hardware is required to modify the Key Monitor System configuration.

Using Access Control Systems to control access to the Key Monitor System You can use your current building access control system to control access to the Key Monitor System software. A standard door control interface can be connected to the Key Monitor System, and your access control system can control and record access to the Key Monitor System. You must use your access control system (fingerprint, swipe card, prox etc) to access the Key Monitor System, then use your UserID/Password to release keys.
Using Access Control Systems to control the door of the Key Monitor System You can use your existing building access control system to control the door release on the Key Monitor System. The Key Monitor System will operate as normal but will only monitor the door state rather than control it. No keys will be released unless you have access to them via the Key Monitor System and can open the access door using your building access control system. This is similar to positioning the Key Monitor System in a room with access controlled by your building control system. The building control system will monitor, control and record access to the Key Monitor System , while the Key Monitor System monitors, controls and records key access.
Anonymous Keys All key tags are identical and unmarked. In the event that a key is lost or misplaced, the key function is not apparent to the finder. All key tags have unique electronic serial numbers sealed within them. The Key Monitor System refers to all keys by their descriptive names. Keys do not need to be stored in particular locations in the key rack. Keys cannot be easily identified by their appearance. Legitimate users can select a key from their key list, and its location will be indicated to them.
Random Key Return All keys can be returned to any position in the key rack. The Key Monitor System will allow you to chose a key to release by its descriptive name. The key location will then be indicated and the door opened as the key is released. In the event that you want to restrict the location of a key to a fixed rack position, the key details can be edited and the key location fixed.
Key Security Options A Key can have three levels of security.
- Low Security - The key can be released by any eligible user, without requiring the user to enter his Password.
- Normal - The key can only be released by an eligible user after the user has provided his Password.
- High Security - The key can only be released by an eligible user after the user has provided his Password, and another eligible user has provided his UserID and Password.
Each key can have a different security level. User Security Options A User must provide a valid UserID to logon to the Key Monitor System . If the user has Low Security Logon allowed, then he can access the Key Monitor System to return, release or find keys without providing a Password. If the user does not have Low Security Logon allowed, then he must provide a Password before he can access the Key Monitor System . The user can access multiple keys while logged-on to the Key Monitor System . The security level of each key is checked before a key is released. If the user has supplied a Password, then that password will be used for all key operations until the user logs-off. The user can be configured to automatically logoff after releasing a key. This is useful for users who normally only access one key at a time.
Access Level Control Access Levels are used to control access to a key or group of keys. An Access Level is given a descriptive name, and then all Access Level controls use that name. An Access Level has a list of keys. The Access Level rules apply to all keys in that list. A Key can be a member of any number of Access Levels. A Key is available only if an Access Level controlling that key is currently active.
An Access Level can be always active, or can be restricted to particular days of the week, or times of the day, or a combination of both. Time limitations consist of a start time and finish time. These times can span a day, providing an "overnight" access time for night shift.
An Access Level can be set to expire at a particular time on a particular date. This is useful for providing temporary access to keys for contracted or visiting staff.
A key can be returned, even if its Access Level is inactive. This makes it possible for a user to release a key between 9:00am and 5:15pmon weekdays, and to return it at any time of day or night. A user cannot logon to the Key Monitor System system unless one or more of his Access Levels are currently active.
An Access Level can be adjusted at any time, and will immediately come into effect.
Alarm Functions Alarms are used to monitor key usage, and alert administrators and users to key usage violations.
Alarms have a descriptive name which is used to report the triggering of an alarm on the user screen. An Alarm can monitor one or more keys. Any number of Alarms can be created. Alarms can be triggered by the following actions
- A key or keys not returned by the alarm deadline.
- A key or keys not released by the alarm deadline.
- A key or keys released and not returned within the alarm deadline.
The Alarm will sound a tone on the Key Monitor System system, explain the Alarm details on the screen, illuminate the indicator LED, and close a relay contact used to communicate with other systems (such as other alarm systems). Any user can silence the sounder on the Key Monitor System unit by touching the screen. Only an Administrator can turn off the Alarm indicator. The alarm indicator is used to indicate to the Administrator that an alarm has been triggered. The Administrator can check the event log to find out which keys and users caused the alarm to be triggered, and then turn off the alarm indicator.
An alarm can be enabled to indicate that a user has left the Key Monitor System unit door open. A duress alarm is available which will not sound an alarm tone, but will signal the alarm relay. Key alarms can be individually enabled or disabled. UserIDs and Passwords UserIDs and Passwords can be configured to suit the type of operation you want achieve. UserIDs and Passwords can be fixed or variable length. UserIDs and Passwords can be restricted to numbers, or include numbers and letters. UserIDs and Passwords can be displayed on the Key Monitor System screen, or can remain hidden.
Question a User before releasing a Key Keys can be configured to ask the user questions before the key is released. This is useful for vehicle usage logging type operations. The questions and the users answers are stored in the event log providing a permanent record of the users actions and statements.
Find an absent key Any key which you are eligible to access can be located. Select a key from the available key list and press the "Locate" button - the Key Monitor System will show the location in the key rack and describe the key location on the screen. If the key is not available because someone else has it then press the "Show Absent Keys" button, select the key and press the "Locate" button - the Key Monitor System will show you the name of the user who released the key, and when they released the key.
Change Key Details Key details can be modified at any time, even if the key is currently being used by someone. The key name can be changed. The key security level can be changed. The Questions required to access a key can be changed. Notes relating to the key can be stored in the key details.
Change User Details User details can be modified at any time. The Users name can be modified. The UserID and Password can be modified at any time, provided the UserID remains unique, and the UserID and Password meet the requirements that you have defined. The Access Levels that are asigned to a user can be modified at any time. A user can always return a key, but cannot always release a key.
Automatically Disable a User at a set time and date If an Access Level is configure to expire at a particular time and date. Then any user that is assigned that Access Level will lose access to the keys controlled by the Access Level at the expiry time. The keys can still be returned, but cannot be released. If a user has no active Access Levels, then he cannot logon to the system.
Copy a Key. When a key is added to the system, it can be automatically assigned to the same Access Levels as any other key you choose. This makes it simple to add a key with equivalent security requirements to an existing key. By adding the new key to the same Access Levels as an existing key, the new key will be available to the same users and the existing key, at the same times.
Copy a User. When a user is added to the system, he can be automatically assigned the same Access Levels as any other user you choose. This makes it simple to add a user with equivalent security and access capabilities to an existing user. By adding the same Access Levels to the new user as an existing user, the new user will have access to the same keys as the existing user, at the same times.
